What to put on a detailing invoice

An invoice is a record of work completed and the amount due. Start with your business name, the client’s name, an invoice number and the service date. Identify the vehicle when that helps the client recognize the job, but avoid unnecessary personal details. A clear invoice is easier to check than a single unexplained total.

Separate the work into useful line items

List interior cleaning, exterior wash, paint correction and ceramic coating separately when they are separate services. Include travel, materials or an agreed add-on as its own line. Use the quantity and rate that match your work. Do not copy sample prices as a rate guide; your vehicle inspection, time, products and travel costs should inform the amount.

Agree on scope and payment terms

Check that the charges match the approved quote and any changes the client agreed to. Only include applicable tax at a rate you have verified for your business. This free generator applies one invoice-wide tax rate; it does not calculate local tax obligations for you.

Tell the client when payment is due and which payment method you accept before the job. If you request a deposit, state how it applies to the final balance. Make cancellation terms clear and fair. Keep a copy of the agreed wording so both sides can refer to it if the scope changes.

Save a copy and follow up clearly

Download the PDF and send it through your usual channel. This standalone generator does not send reminders or collect payment. In a Vault account, you can create invoices with your own payment link and email reminders. Record payment when it arrives; reminders stop once the invoice is marked paid.
